Ask about the year
An annual contract can hit in January for a year of visits that have not happened.
Ask about the yearThe bank sees the draft on the morning it clears. The member may not walk in until March. The sales journal and the income question both start from the morning the money arrived, and then they ask whether any of that money is allowed to wait.
A visit that has not happened is not a reason, by itself, to park the cash in a later month. The file can still show the visits as they happen. It should not pretend the January draft was twelve small deposits that never occurred.
Under the cash method, gross income includes what was actually or constructively received during the year. An advance for services is generally income in the year it is received. Holding part of that advance into the next year is allowed only when the publication's tests are met, including that a portion is earned next year or sits in an applicable financial statement next year.
Most studio drafts do not meet those tests just because the membership card says twelve months. Writing the annual fee into twelve liabilities describes a different method. If the studio is on the cash method and the tests are not met, January is the income month.
The income month and the sales tax month are allowed to be different questions. Where a state taxes the open door, that tax follows the state's own rule for when the charge is reported. The federal cash answer does not rewrite the state return, and the state return does not rewrite Publication 538.
What both returns need is the same split. Taxable dues on one line. A live class on another. A recording on another. Training that was directed on another. One January number that hides those lines makes both returns guess.
Even when the cash is income in January, the studio still wants to know what the year is paying for. How many months the contract earns across. Whether a freeze, a hold, or a family add-on changes the end date. Whether the supplement shelf is a fifth line or just a bottle sold once.
That spread is the management read. It can sit beside the cash answer without replacing it. Twelve equal months on a worksheet are a way to see the year. They are not, by themselves, twelve deposits, and they are not twelve reasons to defer the tax.
Send the January draft, or the one month the annual contracts hit if that month is not January. Say whether any of the money is for a year that has not started. Say whether members can walk in between classes. Amounts can stay covered.
If the membership is only a live class at a set time, say that too. A class card and an open door card should not share a sentence. The page you are on is the open question of timing. The class question has its own page.
Say whether the visits are still ahead. Leave the dollars off the note.
